Job Description

Internal Communications Coordinator


Purpose: To ensure effective information flow at all levels of co-op operations, and to coordinate internal communication of co-op programs and initiatives.  This position has an active role in employee engagement and is responsible for ensuring employees are well informed regarding cooperative initiatives.  This position is part of the HR department and has HR responsibilities as well as co-op wide communication responsibilities.


Status: Full-time.  Reports to the Human Resources Manager; responsible to multiple stakeholders


Pay Level: VI





  • Evaluate and create systems for information gathering and ensuring information flows to and from appropriate stakeholders throughout the co-op
  • Create systems for two-way communication
  • Coordinate communication content on employee window
  • Coordinate internal communications ambassadors program
  • Contribute agenda items to the Communication Advisory Team, and carry forward communication initiatives to enhance communication at Seward Co-op
  • Coordinate communication of co-op-wide initiatives
  • Work with managers to communicate effectively regarding policy, procedures and other initiatives
  • Assist managers in communicating team initiatives in department huddles, meetings and other channels
  • Provide weekly huddle notes to department managers; attend department huddles on regular rotation by location and department
  • With Marketing staff, coordinate consistent design for internal communications
  • Assist managers and other designated staff with consistent internal messaging aesthetics
  • Monitor daily communication for content and appropriateness throughout co-op
  • Coordinate content for employee and department bulletin boards (ICABs)
  • Edit employee newsletter, the Scoop, providing oversight and content, including staff profiles
  • Engage employees in active communication around co-op initiatives and projects, and solicit feedback on issues that affect Seward Co-op
  • Work with IT and HR departments to maintain and organize electronic resource files
  • Engage staff through technology tools, forums and periodic surveys


Events and Meetings:

  • Coordinate retreats, meetings and leadership huddles
  • Promote co-op events internally through postings in co-op locations
  • Take and post minutes at coordination, diversity and support meetings, leadership team huddles, and other meetings as requested
  • Ensure that information from meetings is shared with appropriate stakeholders

HR Duties: 

  • Coordinate employee programs, including KUDOS and Get HIP
  • Promote internal job postings through ICABs and huddle notes
  • File and report injuries
  • Coordinate employee anniversary recognition
  • Coordinate employee raffles and giveaways
  • Provide HR backup during vacations and support HR functions as requested
  • Attend HR events as requested
  • Other duties as assigned by the HR Manager and Assistant HR Manager
  • Maintain confidentiality around personnel matters

  • Graphic design education and/or experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator, etc.) preferred
  • Familiarity with web updating; HTML knowledge a plus
  • Demonstrated ability to follow through on commitments
  • Demonstrated ability to engage in two-way communication
  • Computer proficiency, including keyboard skills, experience with Microsoft suite
  • English proficiency
  • Demonstrated ability to maintain confidentiality and discretion
  • Demonstrated ability to engage various groups around workplace initiatives
  • Must have valid driver's license on file if driving between locations for support



  • Ability to sit and work on a computer for extended periods of time per shift
  • Repetitive use of hands for grasping, pushing, pulling, and fine manipulation
  • Ability to do math computations including addition, subtraction, division, fractions, decimals and percentages

  • Demonstrated ability to work with customers and co-workers from various cultural backgrounds
  • Experience producing surveys for staff engagement
